Information used by Recruiter OS

Recruiter OS uses your phone number to sign you in and stores the profile, candidate and client records, compensation details, recruiting notes, summaries, timer sessions, follow-ups, and documents (such as resumes or offer letters) you enter or upload. You are responsible for having permission to enter and share information about other people.

Storage and service providers

Supabase provides authentication and cloud storage for your records and uploaded documents, which are kept in private storage accessible only to your account. Twilio delivers sign-in codes. Vercel hosts the website, the AI API, and the AI assistant connector. Sentry receives diagnostic and performance information to help investigate app errors; default personal-information collection is disabled. If subscriptions are offered, Stripe processes website billing, Apple and Google Play process store purchases, and RevenueCat synchronizes store subscription status.

Optional AI processing

With your permission, recordings, documents you upload, and the candidate or client details and notes you choose are sent to OpenAI for transcription, structured notes, summaries, and filling in empty profile fields from a document. This can include names, employment history, compensation, and recruiter assessments. Permission is requested before AI sharing. You can withdraw it in Settings; withdrawal stops future AI sharing until you choose to allow it again. Review AI output before relying on it or sharing it. Recruiter OS does not make hiring decisions for you.

Connected AI assistants

You can connect Claude, ChatGPT, or another AI assistant to your account. You approve each assistant on a Recruiter OS sign-in page. When you ask it to, it can read your candidate, company, contact, search, note, summary, document text, and schedule records, and that information is then processed by the assistant's provider (such as Anthropic or OpenAI) under that provider's own terms and privacy policy. Connected assistants have read-only access: they cannot add, change, or delete records, open uploaded files, or change account settings. You can disconnect an assistant at any time in Settings under AI assistants. A conversation that is already connected may keep reading for up to an hour after you disconnect.

Recordings and device permissions

The microphone is used to dictate voice notes, not to record telephone calls. Audio recordings and unfinished drafts are saved on the recording device; audio files are not currently backed up to the cloud. Saved text notes and summaries sync to your account. Microphone, camera, photo library, notification, and calendar permissions are requested when you use those features, and can be changed in device settings. Events added to an external calendar remain subject to that calendar provider's controls.

Sharing

Text, email, and calendar-sharing features send the information you choose through the destination you select. Recipients and those services may keep their own copies. Recruiter OS does not sell your recruiting records or use them for targeted advertising.

Optional Home widget

The Home widget is empty until you choose a source. Source choices are saved for your account on this device. The widget calendar shows your existing Recruiter OS schedule, not an external calendar or mailbox. LinkedIn is an external shortcut; Recruiter OS does not read your LinkedIn feed, collect its password, or store its login. Links open the original provider, whose own privacy policy applies.

Retention and deletion

Your account records are retained to provide the service until you delete them or delete your account. Individually deleted records may be retained as hidden sync records so they do not reappear on other devices. Delete Account in Settings removes your account, its active cloud records and uploaded documents, and clears this device's Recruiter OS data. Copies you shared externally, events in external calendars, provider logs, and routine backups may remain subject to their applicable retention policies. Other devices should reconnect so the deleted account is no longer accessible. Deleting an account does not cancel subscriptions. Cancel through the provider where you subscribed.

Your choices and contact

You can edit or delete your records, withdraw AI-sharing permission, change device permissions, or delete your account. For privacy questions, help accessing or correcting information, or deletion assistance, contact admin@syncedupsolutions.com. This policy may be updated as the service changes; the date above identifies this version.
